A Prelude

Quinquennium: A period of five years.

That’s today's vocabulary word, and it’s giving me all the feels.

Kopy Fresh, just a dream on what seemed like yesterday, has been a legitimate business for five freakin' years. Let me clarify: a full-time business.

Half a decade of betting on, relying on, trusting, and motivating me, even when I felt incompetent or paralyzed with fear.

What I’ve come to realize is that you can read all the business books, attend multiple seminars taught by bonafide experts, and download every podcast imaginable, but the only way to do business is to DO it.

You have to get out there in the proverbial rough waters and make things happen, sometimes with one broken paddle guiding your small boat.

It’s you against you.

But when you reach that shore, whether it’s scoring your first retainer client or achieving a $10K month, the challenges make it all worthwhile.

That’s the most authentic depiction of business I can share.

They say hindsight is 20/20. I would do some things differently if I could go back in time, but there are other things I’d leave as is. After all, lessons, resilience, and wisdom materialize from the worst experiences, the ones you thought would take you under.

But that other side is glorious. It’s proof that you are THAT girl or guy and successfully created a business that helps others through your passion and expertise.

So, to celebrate this momentous quinquennial occasion, I’m sharing the wisdom I’ve acquired over the years as a copywriter and small business owner. Presented as my “top fives,” you’ll get everything from tips, tools, and testimonials to marketing philosophies and memories.

Let’s get into these gems…

Kopy Fresh's Top Fives (plus some)

Copywriting Advice

  1. Throw out the word ‘professional’ from your vocabulary. It’s subjective. So unless you’re writing a thesis, communicate with your audience like they’re people…because they are.

  2. Find your brand voice before you write one word. Yes, it’s that critical. Find out "who" your brand is with our FREE Brand Persona Quiz below!

Discover your brand's perfect persona and create more effective messaging with our free quiz!

  3. Avoid keyword stuffing at all costs. It’s obvious and has the opposite effect on SEO.

  4. Stop focusing so much on the ‘what’ and ‘how.’ Instead, dissect the ‘why.’ Your ideal clients are often unaware of the reason behind their desires and motivations. It’s your job to enlighten them.

  5. Psychographics matter more than demographics, but both are necessary components of targeted copy and messaging.

⭐BONUS: Hire a copywriter. Nothing beats the human experience, especially not a robot pretending to be human (insert hard eye roll here).

General Business Tips

  1. Your small business should have a plan highlighting everything from your marketing mix to market analysis. It’s your business’s foundation and will serve you well if you apply for loans or grants (some require them).

  2. Market offline as much as you do online, and have your business card ready. Choose the digital route if you don’t want to invest in physical cards (I use Blinq!).

  3. Networking doesn’t have to be formal. You can (and should) spark conversations anywhere.

  4. Invest in accounting software to track your income and expenses. Also, run reports regularly to ensure your financials are up to par. Recommendation: My client, Perfectly Kept Books®, offers an affordable DIY bookkeeping solution for solopreneurs and LLCs. Check it out HERE

  5. Know your competitors! Be diligent in your market research.

Efficiency Hacks

  1. Create SOPs for everything from lead generation to on and offboarding. It will make your life (and your team’s) much easier with comprehensive processes in place.

  2. Invest in an all-in-one CRM that handles your lead and client management, scheduler, proposals, contracts, invoices, and client communication. Bonus points if you can customize templates and automate workflows! Dubsado has been my CRM buddy for almost five years, and I’m still in love! I highly recommend trying it for FREE to see how it will benefit your business (click the graphic below to sign up).

We use Dubsado, a CRM to manage our business operations. Shown is an image of a desk displaying an "Everyday I'm Hustlin'" nameplate, writing pens, and the Dubsado logo.

  3. Establish brand messaging guidelines for all communication. Your guidelines should inform what you say, how, and to whom to maintain brand consistency and cohesion. Learn more about our custom resource, the F.R.E.S.H. Editorial Playbook below:

Shown in the image is a Black, female copywriter smiling while working on a laptop. The graphic promotes custom brand messaging guidelines.

  4. Find a project management tool you can navigate confidently. I have used the free version of Asana for years, and it does everything I need! It keeps everything on track, from assigning team member projects to managing Kopy Fresh’s to-dos. Asana is user-friendly with a simplistic interface, but if you require more bells and whistles, I recommend Clickup.

  5. Time your work. It will quickly reveal how long you take on specific tasks and if outsourcing makes sense to reclaim your time. It will also help you determine or reassess your rates. I use the free version of Toggl, which offers everything from client project grouping to custom reporting (try it FREE for 30 days)!

⭐BONUS: Put your phone in another room while you work! It’s tempting to pick it up, scroll social media for a while, and respond to texts and messages when it’s easily accessible. Help yourself by removing distractions altogether.

Hiring Best Practices

  1. First things first — check the budget! Determine if you can afford to bring on a new team member.

  2. Create a detailed breakdown of the new role(s) and responsibilities. Note: You will already have this information if you document your SOPs.

  3. Use various channels to market your new role(s). I found most of my team members on LinkedIn, so I highly recommend the platform. You should also reach out to business friends for their recommendations, but read this blog post before you do!

  4. Outline role-specific and scenario-based interview questions for anyone providing a service for your business. Aside from their portfolio, consider having your potential team member complete a PAID project. This will help you see how they work based on your unique needs.

  5. Once fully onboarded (i.e., offer letter accepted, contract signed, tax documents received, etc.), communicate expectations and give regular feedback. Whether a contractor or employee, treat your new team member(s) like a valuable part of your business operation (because they will be!). Get to know them, celebrate their accomplishments, and create a respectful, mutually beneficial work environment.

⭐BONUS: House and categorize team member information in your Google Drive and reference specific folders using your project management tool of choice.

If you're looking for a skilled copy pro who puts the extra love into the project from beginning to end, Shamia and team are the perfect choice. -Rachel “Rai” Henry

📌Final Note

A Black female copywriter smiling brightly in her brand photo.

Every year is to be celebrated, but 2025 feels different. This quinquennial, I plan to keep the commitments I made to myself, stretch beyond my comfort zone, and pop my ish more without losing my humility.

Traditionally, year five is called a "wood anniversary," representing strength, stability, and growth. I couldn’t have chosen a more appropriate symbol.

Remember that wooden paddle? I’ll keep using it to get to the next destination. Eventually, my small boat will transform into a luxurious yacht, effortlessly charting the waters (while I sit back champagne sippin’). Until then, the passion-filled grind continues.

Happy 5th anniversary, Kopy Fresh! 🎉🎉🎉
